Job Summary
Develops, implements and supervises full operations of all corporate meetings, conventions and special corporate events, and assists in the facilitation of corporate and convention travel management. Provides assistance to Regional Offices, HelpPoint Centers, ServicePoint Centers and other Home Office departments, and the Agency Force in the area of planning meetings and events, as well as assists in facilitation of the company's major conventions.
Essential Job Functions
- Plan, coordinate, and execute meetings and events ranging from small-scale programs (e.g., golf outings and team events) to large-scale experiences (including President's Club and Topper's Club events), managing budgets, logistics, and vendor selection
Recruit, manage, and supervise vendors and on-site personnel (e.g., travel agencies, hotels, AV teams, transportation, and support staff) to ensure seamless event delivery
Negotiate contracts and pricing with vendors and oversee billing, expense review, and cost control measures
Coordinate with internal partners and external agencies (including government entities when needed) to support domestic and international event requirements
Develop and manage program agendas, event materials, and communications in partnership with Corporate Communications
Source and manage event assets such as promotional items, gifts, name badges, and program materials, including content development for activities and tours
Maintain accurate records and ensure compliance with required documentation and reporting (e.g., 1099 requirements)
Support cross-functional teams and business units with meeting and event planning needs across the organization
Conduct post-event surveys, analyze feedback, and identify opportunities to enhance future programs
Oversee travel operations and monitor vendor performance, costs, and program effectiveness
Prepare and analyze budget reports (quarterly and annual), and conduct site inspections for event locations
Perform additional duties as assigned
Physical Actions
Required job duties are somewhat sedentary consisting of moderate walking, standing, driving and lifting and or carrying of 40 lbs. maximum, and seeing. This position requires substantial extended travel to convention locations.
Physical Environment
Required job duties are normally performed in a climate controlled office environment, with exposure to some or all of the following conditions: Uncontrolled outside environmental conditions, moving mechanical parts, electrical current, excessive noise level, and areas considered to be dangerous.
Education Requirements
High school diploma or equivalent required. Bachelor's degree preferred.
Experience Requirements
Two years with FIG in a supervisory or management position, or five years experience as a meeting planner or related hospitality industry experience. Experience with CVent and Power BI preferred.
Special Skill Requirement
Negotiation skills and ability to utilize a keyboard and computer.
