We are seeking a highly organized, proactive, and professional Administrative Assistant to provide high-level support to the President/CEO. This role requires exceptional communication skills, discretion, strong attention to detail, and the ability to manage multiple priorities.
The ideal candidate is resourceful, solutions-oriented, and capable of anticipating needs while maintaining confidentiality and professionalism at all times.
Key Responsibilities
- Manage and maintain the President/CEO’s calendar and scheduling priorities
- Coordinate meetings, appointments and company communications
- Handle communications on behalf of the President/CEO
- Monitor and respond to emails and correspondence
- Arrange occasional travel accommodations and itineraries
- Conduct research and prepare reports, summaries, and documentation based on reinsurance
- Assist with presentation preparation and meeting materials
- Maintain strict confidentiality and discretion regarding sensitive information
- Perform general administrative and office support tasks
- Provide excellent customer service and telephone support, be the main contact for all vendors
- Prioritize tasks effectively to ensure smooth daily operations
Qualifications & Skills
- Solid written and verbal communication skills
- Strong organizational and multitasking abilities in a fast-paced environment
- Proficiency in Microsoft 365 Office Suite, including Outlook, Word, and Excel
- Ability to analyze situations, identify solutions, and take initiative
- Resourceful, flexible, and proactive with strong problem-solving skills, reporting building in excel
- High level of integrity and professionalism when handling confidential information
- Ability to anticipate needs and work independently
- Insurance industry background or knowledge is a plus, but not required
- Education, qualifications, and relevant industry knowledge are important considerations for this role
