Insurance Administrative Assistant

We are seeking a highly organized, proactive, and professional Administrative Assistant to provide high-level support to the President/CEO. This role requires exceptional communication skills, discretion, strong attention to detail, and the ability to manage multiple priorities. A large part of this job is managing the reinsurance side. You will be required to provide updates on clients, manage an excel report with the reinsurance clients, send reminders to adjusters to get their reports in on-time, help upload files in our insurance database. Provide monthly reports to customers.

The ideal candidate is resourceful, solutions-oriented, and capable of anticipating needs while maintaining confidentiality and professionalism at all times.

Key Responsibilities

  • Manage and maintain the President/CEO’s calendar and scheduling priorities
  • Coordinate meetings, appointments and company communications
  • Handle communications on behalf of the President/CEO
  • Monitor and respond to emails and correspondence
  • Arrange occasional travel accommodations and itineraries
  • Conduct research and prepare reports, summaries, and documentation based on reinsurance
  • Assist with presentation preparation and meeting materials
  • Maintain strict confidentiality and discretion regarding sensitive information
  • Perform general administrative and office support tasks
  • Provide excellent customer service and telephone support, be the main contact for all vendors
  • Prioritize tasks effectively to ensure smooth daily operations

Qualifications & Skills

  • Solid written and verbal communication skills
  • Strong organizational and multitasking abilities in a fast-paced environment
  • Proficiency in Microsoft 365 Office Suite, including Outlook, Word, and Excel
  • Ability to analyze situations, identify solutions, and take initiative
  • Resourceful, flexible, and proactive with strong problem-solving skills, reporting building in excel
  • High level of integrity and professionalism when handling confidential information
  • Ability to anticipate needs and work independently
  • Insurance industry background or knowledge is a plus, but not required
  • Education, qualifications, and relevant industry knowledge are important considerations for this role
