The Front Desk Representative works closely with Producers and Account Managers to obtain quotes from insurance carriers and vendor partners. A template spreadsheet is utilized to lay out various quotes in a proposal format. Proposals are presented to existing clients as part of their annual renewal as well as to prospects. The purpose of the proposal is to articulate options as we complete a market review of benefit plans. This position works with 400-500 client accounts and prospects throughout the calendar year. The fourth quarter is the busy season and overtime may be necessary occasionally during this time. This is currently an in-office position, with occasional work-at-home opportunities after the 90-day introductory period and training. This position is also responsible for front desk reception and administrative assistance to the account managers.

  • Set up and maintain accurate and complete activities in the client relationship management database (CRM), including documentation and management of action items and communications according to the procedure.
  • Add carrier contacts to CRM and update contact information as it changes.
  • Quickly and accurately transfer data to and from Excel spreadsheets utilizing macros and other intermediate to advanced excel functions.
  • Request quotes and follows up to ensure they are received promptly.
  • Answer questions regarding quote requests from carriers as you are able or forward them to Producers/Account Managers for answers.
  • Receive and verify received quotes match what was requested, print, file, and track in CRM.
  • Prioritize and create proposals based on the client renewal dates and meeting dates.
  • Greet and transfer incoming calls, receive, and sort mail, and ensure basic office supplies are ordered and stocked.
  • Prepare presentation materials, reports, and other clerical tasks, as assigned.
  • Learn industry trends and interpret the effect of carrier/product modifications.
  • Maintain the highest level of security and confidentiality regarding corporate and client-related information.

  • High school diploma or equivalent.
  • Proficiency with Microsoft Windows and Microsoft Office Suite and ability to self-direct learning when necessary (Excel proficiency required).
  • Familiarity with quoting applications such as Wired Quote is a plus.
  • Ability to establish priorities, work independently and proceed with objectives with little or no supervision.
  • Strong attention to detail and the ability to prioritize multiple projects while adhering to deadlines.
  • Enjoys working in, and actively helps to support and cultivate, a collaborative team atmosphere.
