This position represents a multi-faceted administrative assignment that is responsible for managing agency data management as well as sales administrative services for four CIG Regional Field Executives. This assignment demands an extremely competent administrative professional who is comfortable handling a variety of work assignments. The ideal person will possesses sound judgment and decision-making skills along with a high degree of courtesy, tact, diplomacy and discretion to manage work of a critical and sometimes confidential nature in a timely and professional manner. Duties performed require standard and advanced administrative support skills. Requires an individual with a technical orientation to maintain agency data and information across multiple information systems. Must possess exceptional organizational skills, as well as the ability to manage multiple priorities and meet time sensitive deadlines. Must maintain confidence and trust; anticipate needs and take the initiative to handle a variety of assignments accurately, efficiently, and with limited direct supervision. May perform other duties as directed or assigned.

Primary Responsibilities

  • Assumes responsibility for the coordination of field event planning. Typical event planning activities include: Region/Territory staff meetings, agency presentation meetings, agency reviews, and business meetings with top tier agents.
  • Maintains Agency Change Requests, contact information, information gathering for new agency appointments; composes and/or transcribes presentations, press releases, correspondence, reports, and memos.
  • Responsible for Agency data management duties which include providing field requests for data and information in a timely manner, producing reports, identifying and correcting data integrity issues, and updating agency data in multiple company databases. Responsible for agency data integrity, regulatory compliance, and agency database maintenance.
  • Facilitates meetings, schedules travel, and other appointments to maximize the executive's time. Identifies conflicts in scheduling and notifies executive or takes action to resolve conflicts. Responsible for preparing materials prior to meetings for review by executive to ensure that needed materials are present at time of appointment.
  • Performs data analysis and prepares reports, maintains sales database, assists with correspondences, manages expense reporting, including assistance with invoices, purchase orders and check requests

Qualifications

  • Takes the initiative to handle a variety of duties and assignments accurately and efficiently while maintaining confidentiality and with limited direct supervision
  • Excellent PC skills with above average experience utilizing Excel and Word
  • Experience using SQL and VBA
  • Superior communications and grammatical skills are necessary along with demonstrated ability to compose and edit reports, articles and business correspondence, liaison with other departments in Executives absence
  • Monitor policies, procedures and practices to ensure efficiency for the field
  • Exceptional organizational skills as well as the confidence and ability to manage multiple priorities and satisfy time sensitive demands
  • Experience working with internal and external customers

Education and Experience

An associates degree is preferred but will consider high school equivalency and a minimum of five (5) plus years of administrative or relevant sales support assignments or office management experience. Coursework in secretarial subjects such as typing, computer word processing, PowerPoint, Visio and other standard business software packages are required.
